Job title - Admin Assistant (MATERNITY COVER - 9-12 months fixed term)
April/May 2026 - February 2027
Salary - £26,437 per annum
Hours - Full-time 40 hours per week
Monday – Friday (8am – 5pm)
1:4 Saturday morning Reception duties (8am – 1pm) with TOIL
We have an exciting opportunity for an Admin Assistant to join the client care team at Wicstun Vets and assist with the day to day of our busy 24-hour hospital, and two branch surgeries.
Your role and responsibilities
You must be able to work as part of a team as well as independently in supporting our clients, patients, and clinical teams in our busy practices. This is a rewarding and challenging role that will require teamwork and dedication.

Responsibilities (but not limited to):
- To work as part of a team as well as independently supporting our clients, patients, and clinical teams in our busy group.
- Answering telephones and diverting or taking messages ensuring prompt delivery and accurate details.
- Monitoring practice email and directing enquiries to the relevant department
- Accurately inputting patient data to the computer system as required
- Dealing with all general enquiries, explaining procedures in place and making new and follow up appointments.
- Advising clients of relevant charges, taking payments and providing receipts and invoices where applicable.
- Contact clients via phone, email, and written correspondence to chase overdue payments.
- Resolve billing issues or disputes professionally and compassionately
- Maintain accurate records of all communications with clients
- Holiday/sickness cover for the Client Care Team including reception duties
What kind of person you need to be:
- Experience in a veterinary administrative role is desirable
- Be highly organised and with the ability to prioritise along with problem solving skills
- Excellent communication skills including difficult conversations
- Experience of working under pressure
- Possess sound decision-making skills and ability to work under own initiative
- Have a professional, polite, assertive telephone manner
- Excellent written communication skills
