Job Title: Client Care Assistant

Location: Village Vet London, across 3 London Sites

Job Type: Full-time, Permanent

Hours: 42 Hours per week. Flexible shift patterns that vary between 08:00am and 8:00pm including rotated weekend shifts.

An exciting opportunity has opened to join our fantastic London teams as a Client Care Assistant, supporting our welcoming practices in Highgate, Garden Suburb, and Highbury.

In this dynamic front-of-house role, you’ll play a key part in delivering a five-star experience for both our clients and their pets from the moment they walk through our doors. Working across three of our busy sites, you’ll ensure every interaction is warm, professional, and supportive, helping create a calm and positive environment for everyone who visits us.

This is a fast-paced and rewarding role where no two days are ever the same. From greeting clients and coordinating appointments to supporting our clinical teams and keeping the practice running smoothly, you’ll be at the heart of everything we do.

Your role and responsibilities

  • Liaising with clients and the clinical team to ensure effective customer service

  • Meeting and greeting clients with an effortless smile

  • Booking appointments and diary management

  • Managing telephone and email enquiries

  • Taking payment for services and products

  • Promoting our fantastic Pet Healthcare Plan

  • Completing various administrative duties for the clinical team and the business

  • Managing cash, stock and client accounts

  • Opening up and closing the primary care services.

  • Various administrative duties such as:
    -Pet travel scheme paperwork / AHCs 
    -Post op calls and Pre-op texts 
    -Maintaining consult rooms 
    -Uploading /printing lab results 
    -Scanning paperwork
    -Meds collections texts 
    -Inputting stock take (every 3 months) 
    -Some restraining to help vets when limited staff

  • You may be required to cover shifts at our other pratices in London

Key Skills and Experience

  • Experience in a Reception or Customer Service role essential

  • Experience of Veterinary industry preferable

  • IT skills – confident in the use of Word, Excel and Outlook as a minimum

  • Excellent telephone and face-to-face communication skills

  • The ability to stay focused under pressure and to multitask

  • Flexibility to work on a rota basis
