North Downs Specialists Referrals are recruitig for a receptionist to join their client care team. The role of receptionist is to welcome clients and manage all incoming telephone calls. Also liaise with all colleagues to ensure client queries are dealt with efficiently and in a timely manner.
Hours
This is a permanent part-time role of 30.5 hrs per week with varying shifts 8am-7pm Monday, 8am-4pm Tuesday & Wednesday and 8am-2pm on Friday plus approx 1 in 9 Saturday mornings 10am-2pm. With flexibility to cover sickness and annual leave if required.
Your role and responsibilities
Work alongside other receptionists to welcome clients and manage all incoming telephone calls. Also liaise with all colleagues to ensure client queries are dealt with efficiently and in a timely manner.
Tasks will include:
- Meeting and greeting clients
- Liaise with clients regarding appointment cancellations or postponements
- Making appointments for re-exams
- Dealing with all telephone calls that come through to the reception line
- Ensure telephone and email enquiries are forwarded to the relevant colleagues
- Manage room bookings and trouble shoot any issues
- Dealing with clinician’s letters
- Taking payment for treatment
- Following up on unpaid accounts by calling clients and taking payments
- Ensure the reception area is kept clean and tidy, liaising with the front of house and purchasing assistant when necessary
- Liaising with Client Care Manager regarding any client complaints.
The ideal candidate will have experience in a similar role and will demonstrate:
- Excellent customer service skills
- Confident telephone manner
- Ability to work under pressure in a busy hospital environment
- Ability to work well within a team

North Downs Specialist Referrals is a large, multidisciplinary referral hospital in Surrey. Despite our size, we are a cohesive team. There are other specialist interns in surgery and rotating interns, as well as residents in oncology, anaesthesia and imaging.
We have over 35 Recognised Specialists in surgery, internal medicine, ophthalmology, oncology, neurology, orthopaedics, cardiology, diagnostic imaging, dentistry, dermatology, and anaesthesia. The centre is a purpose-built state-of-the-art facility.
