Vet Specialists Scotland are hiring for a new team member to join the Client Care team as a client care advisor. This is a part time role of 20 hours a week.

You weekly rota will look like:

Week one - 8 hr shift Mon & Tues, 4 hr shift one afternoon Wed - Fri

Week two - 8 hr shift Mon & Tues, 4 hr shift Saturday.

This position requires recognition of providing excellent client care; considerable organisational skills and attention to detail; accuracy in transcribing information/messages and a practical knowledge of the standard procedures, veterinary records and terminology used in the hospital. The ability to self-prioritise daily workload to adhere to deadlines. This role reports directly to the Client Care Manager.

Our client care team should create a first-class impression of our business, remaining calm, courteous and professional at all times. Our client care team should make a positive impression and make clients feel confident in our service as a whole.

Role and Responsibilities

  • To be efficient, pleasant, courteous, polite, concerned and helpful at all times. Clients can often be distressed or worried and need extra understanding and empathy from the client care team.
  • Liaise with referring vets and hospital specialists to ensure appointments are provided within an acceptable timescale.
  • Scheduling all appointments efficiently and maintaining practice management database
  • Ensure information packs are send to clients, advising on payment policy and assisting with paperwork.
  • Answer the phone promptly and courteously.
  • Greet and receive clients and their pets on arrival and then monitor and manage waiting times
  • Process all new clients with registration forms accurately on practice management system
  • Deal with client complaints according to the practice complaints procedure and escalate as appropriate
  • Assist hospital staff as required
  • Keep reception and the waiting room area tidy and well organised.
  • Diary management for multidiscipline services.
  • To take, record and pass on messages accurately within an appropriate timescale.
