Job Title: Veterinary Team Administrator

Salary: £28,246.00 Annual (Prorated: 17,653.75)

Location: Cromwell Vets, Huntingdon

Job Type: Permanent, Part-time

Hours: 20-25 hours per week

Shift Pattern: 5 days per week, 8:00-13:00 (Some flexibility)

We're seeking individuals who are dedicated to delivering exceptional service and providing invaluable administrative support to our Clinical Directors and Practice Manager.

Role and Responsibilities

  • Produce accurate and timely rotas for Veterinary Surgeons to ensure consistent provision of veterinary services across all sites during weekdays, weekends and Out of Hours. 

  • Utilise opportunities within the rota to support growth and development of Veterinary Surgeons particularly those on the Linnaeus Graduate Development Programme or Early Careers Programme.  

  • Maintain accurate record of staff absence and holiday for payroll reporting.  

  • Liase with locum vets and locum agencies to provide sufficient veterinary cover for holiday or periods of vet shortages 

  • Review CV’s and skills matrix for locum vets (in collaboration with Clinical Directors) to ensure locum vets are sufficiently skilled to maintain high clinical standards. 

  • Maintain database with contact information for all veterinary locums and agencies. 

  • Ensure rota is accurately inputted onto Practice Management System.  

Key Responsibilities

  • Ensure adequate number of Veterinary Surgeons available on rota to maintain provision of Veterinary services.  

  • Use own initiative to manage any potential reduction in vet numbers.  

  • Maintain accurate record of locum use and support SLT to work within budgeted locum spend.  

  • Provide administrative support to Senior Leadership Team.  

Essential Skills, Knowledge and Experience

  • Previous experience within a Veterinary Practice environment.

  • Excellent communication skills, both verbal and written.

  • Ability to work at a fast working pace under pressure along with lone working and managing own workload.

  • Professional approach to work.

  • Excellent administration, organisational and time management skills with excellent attention to detail.

  • Excellent IT skills – Microsoft (Outlook, Word and Excel, Teams).
